Task Playbooks allow teams to standardize and scale their business operations. Create repeatable templates for complex workflows like podcasts, client testimonials, or social media campaigns to ensure consistency and speed across your entire organization.

As decentralized content creation grows, coordinating large-scale initiatives becomes a challenge. Task Playbooks solves this by formalizing the "winning recipes" that work for your team, allowing you to ship great content even faster.

Task Playbooks are available for users with Standard permissions or higher.


Standardizing Operations with Playbooks

We’ve moved beyond one-off tasks. You can now build high-level "Playbooks" that act as a structural blueprint for any project.

  • Template Creation: Build a master list of steps for recurring projects (e.g., "Monthly Podcast Episode" or "Customer Success Story").

  • Centralized Management: Access, edit, and organize your playbooks from a single dashboard.

  • Custom Categorization: Tag playbooks by type (Social Media, General, Campaigns, and more) to keep your workspace organized as you scale.

Automation: Start & Due Date Offsets

Precision timing is built in. Instead of manually picking dates every time you launch a project, you can use Offsets.

  • Start Date Offset: Set a task to "kick in" a specific number of days after creation (e.g., "Wait 7 days before starting").

  • Due Date Offset: Automatically calculate deadlines based on the creation date, ensuring every contributor knows exactly how long they have to execute their portion of the playbook.

Subtask Architecture

The real power of a Playbook lies in the details. You can now pre-define every micro-step required to complete a larger goal.

  • Sequential Workflow: Build out a step-by-step flow. For example: Secure Participation → Sign NDA → Schedule Recording → Edit → Post.

  • Instant Deployment: When you apply a playbook to a new task, all subtasks are generated instantly, inheriting the priority and timeline settings of the parent playbook.

  • Clear Ownership: Assign the entire playbook to a teammate, and they’ll receive the full checklist of everything needed to hit the goal.


FAQ

Where do I find Task Playbooks?

You can find them in your Profile Menu under the Task Playbooks tab. This is separate from your active task list so you can manage your templates in one place.

Can I edit a playbook after it’s been used?

Yes. You can update your master Playbook at any time.

Note: Changes to a master Playbook will apply to future tasks created from that template but will not retroactively change tasks that are already in progress.

Do subtasks show up for the person I assign the task to?

Absolutely. When you assign a Task created from a Playbook, the assignee sees the full checklist of subtasks, ensuring they have the "Playbook" for success right in front of them.
