Onsite Video Booking is where you book and brief an onsite video shoot inside MarketScale. The flow walks you through a location, a date with live crew availability, your participant roster, and a production brief the AI helps draft. This article covers the booking from open to submit.
Step 1: Open Onsite Video Booking
From your dashboard, click the globe labeled Onsite Booking. One hub, one entry point.
Step 2: Pick a video type
Select the tile that matches your production: event, facility tour, testimonial, and so on. The video type sets defaults for the rest of the flow.
Step 3: Set the location
Search by address, venue name, or company name. Locations near you rank higher in the result list. When you confirm a location, the shoot timezone auto-sets so the call sheet reflects where the production actually happens.
Pro tip from the coaches: Confirm your location before you finalize the date. The system sets the shoot timezone from the location, so booking the date first and adding the location second can leave your call times in the wrong zone. Location first, then date, then participants.
Step 4: Lock the date and time
The calendar shows live crew availability, refreshed every 30 seconds.
Open dates. Full availability. Book without restriction.
Limited dates. Capacity is filling. Book before the window closes.
Unavailable dates. Fully booked. Hidden from selection.
Once you select a date, it's held for you for 10 minutes while you complete the rest of the booking. A countdown timer at the top of the screen tracks the hold and shifts color as time runs short, so you know to wrap up the form before the hold releases.
Step 5: Add your participants
The participant directory pulls from your channel and lets you invite anyone outside your org without leaving the booking flow.
To add a participant from your channel, click the + Search by name or email field and type their name or email address. Contact details, role, and photo auto-fill from your company directory. To invite someone outside your org, type their email in the same field. They don't need a MarketScale account to attend.
For each participant, click the On Camera toggle if they'll appear on camera so the crew knows who needs prep on shoot day.
Click Continue to move to the next step.
Pro tip from the coaches: Add your channel team first, then layer in externals. Internal participants auto-fill from the directory in one click each, so you can build the core roster fast and spend your attention on the people you need to invite from outside.
Step 6: Build your production brief
The brief field accepts your raw thinking and reshapes it into something the production team can act on. You can also attach your existing planning docs so the crew arrives with the same context you have.
Write a few sentences. Drop the production goal, the audience, and the must-hit moments into the brief field as raw notes.
Click Enhance. The AI reorganizes your notes into a structured brief with clear sections.
Attach your existing docs. Upload your planning files so the crew has the same context you have.
Revert anytime. One click restores your original text if the enhanced version isn't what you want.
Pro tip from the coaches: Use the enhanced brief as your first draft, not your final one. Read it back and tighten anywhere it sounds generic. The AI gives you structure. You give it the texture only you know.
Step 7: Review and book
The review screen shows the complete booking on one page: location, dates, participants, brief, attachments, and notes. Add any extras like drone shots by ticking the relevant boxes. The About Your Production field has a 30-character minimum, and the more detail you give, the better.
When everything looks right, click Book Onsite Video Production. The smart match engine routes the booking to the best local videographer, and their profile and photo land in your feed for full transparency.
