How To Maneuver the Video Status Portal

Think of the Video Status portal as your tracking hub—like watching your Uber arrive or following an Amazon delivery. Instead of guessing where your video stands, you can see its progress in real time, broken down step by step. Here’s what you can expect when navigating the portal.


Your Dashboard View

To access the Video Status portal, make your way to Studio. Once you're there, look to the top left corner of your dashboard.

From there, the Video Status portal presents a clear, organized view of all the active projects. Each entry shows its current stage, the editor assigned, and how long it’s been in that stage. This is your quick-scan view—perfect for knowing, within seconds, whether a video is waiting, in progress, or ready to use.


Filters and Sorting Tools

For clients juggling multiple edits, filtering and sorting make it easy to stay organized. You can search by editor, channel, project, and requester.

Sorting gives you another layer of control. You can reorder projects by submission date, making it easy to decide whether you want to see the newest submissions first or look back at earlier requests.


Status Stages Explained

Every video flows through a series of stages designed for clarity. Here’s what each one signals:

  1. Needs Info – The edit can’t begin yet because key details are still missing.

  2. Ready to Edit – The project is in the queue, waiting to be picked up by an editor.

  3. In Editing – An editor is actively working on your video.

  4. Quality Control – The video is under review for any last adjustments or refinements.

  5. Edited – The content has been polished and is now ready for approval or distribution.

  6. Completed – The edit is finished and available for download or publishing.

These milestones aren’t just progress markers—they’re planning cues. When a project reaches Quality Control, you’ll know it’s in final review and can begin preparing publishing dates. Once it’s marked Edited, it’s ready for marketing prep. And when it moves to Completed, the video is finalized and ready for distribution.


Opening Your Video in Media Studio

On the far left of each project row, you’ll see an eye icon. Clicking this launches the video in Media Studio, where you can watch the current version, leave feedback, and add notes for the editing team. This is where collaboration happens—keeping comments, revisions, and approvals tied directly to the video itself.


Accessing the Studio Link

On the far right of each project row, you’ll see a menu with additional options. From here, you can copy the Studio link for your video. This link is essential when it’s time to submit your video for publishing, since it connects the finished edit in Media Studio to the publishing workflow. Keeping this step in the same portal ensures you never lose track of where your video lives or what needs to happen next.

The same menu also includes the Needs Info option. When this is selected, the project requires additional details before editing can move forward.


Cross-Team Clarity

One of the most valuable aspects of the portal is that it’s not just for editors—it’s a single, consistent view for everyone involved. Everyone with access—creators, coordinators, and clients—sees the same real-time information. That means fewer interruptions, fewer “where’s my edit?” messages, and more focus on creative work.

How often does Video Status update?
Updates are instant. As soon as an editor moves your video to the next stage, the change is reflected on the portal.

What if I don’t see my video in the list?
First, confirm the video has been submitted for editing. If it has and still isn’t showing, refresh the page or check back in a few minutes—sometimes it takes a moment to appear.

Who on my team can view the status?
Anyone with Studio access sees the same status screen, including creators, coordinators, and clients. Keep in mind, you’ll only see content you have permission to access.

Will I get notifications when my video moves stages?
Video Status itself doesn’t send alerts. You’ll need to open the portal for real-time updates. However, the order requester will always receive an email when a video is marked Edited.

Can I leave notes or comments on the status page?
No. The Video Status portal is meant only for tracking. To leave notes or share feedback, use Media Studio for that video order.
