Q: What is the Asset Library?
A: The Asset Library is MarketScale's Ready to Share hub, a digital asset manager for finished, approved, audience-ready content. It's where completed media lives so your team (and the people you share with) can always trust that what they find is ready to use. Upload approved videos, final images, polished presentations, and completed documents. Create collections. Share them with anyone via a link.
Q: What kind of content belongs in the Asset Library?
A: Finished, approved, ready-to-share content. If you'd hand it to a customer, partner, or press contact right now, it belongs here. Think: final edited videos, approved product images, published presentations, completed podcast episodes, and sales-ready collateral.
Q: What should I NOT put in the Asset Library?
A: Drafts, raw footage, works in progress, and anything that hasn't been approved or completed yet. Those belong in the Media Studio. The Asset Library's value comes from being a trusted source. If unfinished content gets in, people stop trusting what they find there.
Q: Who can access the Asset Library?
A: All members of your organization can view and upload to the Asset Library. Editing and deleting assets depends on your role: creators can manage their own uploads, and administrators can manage everything.
Q: Is there a file size limit for uploads?
A: Contact your organization administrator for specific size limits configured for your account.
Q: What file types can I upload?
A: The Asset Library supports a wide range of formats across all major media types:
Images: JPG, JPEG, PNG, GIF, WebP, SVG, HEIC, HEIF, BMP, TIFF, ICO
Video: MP4, WebM, MOV, AVI, MKV, M4V, OGV, WMV
Audio: MP3, WAV, OGG, M4A, FLAC, AAC, WMA
Documents: PDF, DOC, DOCX, XLS, XLSX, PPT, PPTX, TXT, RTF, ODT, ODS, ODP, CSV
Collections
Q: What are collections?
A: Collections are groups of related assets organized by campaign, product, event, audience, or any other criteria. Think of a good collection as a curated content package: everything someone needs, ready to share in one link.
Q: Can an asset be in more than one collection?
A: Yes. Use the Copy to collection option to add an asset to additional collections without removing it from the current one.
Q: What happens to files when I delete a collection?
A: You have two choices:
Remove collection only: All files move to "Other" (unsorted). Nothing is deleted.
Delete collection and all files: The collection and every file in it are permanently deleted. This cannot be undone.
Q: What does "Other" mean in the sidebar?
A: "Other" shows all assets not assigned to any collection. Assets land here when uploaded without a collection, or when removed from all their collections. Check here if you can't find something you uploaded.
Q: Are favorited collections visible to my team?
A: No. Favorites are personal. Only you see your own favorited collections.
Sharing
Q: Can I share assets with people outside my organization?
A: Yes. Share links are public URLs that anyone with the link can access. No login required.
Q: What are the share link expiration options?
A: You can set links to expire after 3 days, 7 days, or choose No expiration for a permanent link.
Q: Can I revoke a share link?
A: Not manually. There's no revoke button. Links with an expiration go inactive automatically after the set period. For permanent links, the only way to disable access is to delete the underlying asset or collection.
Q: What happens when a share link expires?
A: Recipients who visit an expired link see an "expired" message and can no longer view or download the content.
Q: Can I control whether recipients download my shared files?
A: Yes. When creating a share link, toggle Allow download to Yes or No. If set to No, recipients can view the content but cannot download the original file.
Q: Does editing a share link's settings update existing links?
A: No. Each time you create a share link, a new unique URL is generated. Previously created links are not affected.
Searching and Browsing
Q: What fields does search look at?
A: Search matches against asset titles, descriptions, AI-generated summaries, and original file names.
Q: Can I filter search results?
A: Yes. After searching, you can narrow results by media type (Video, Image, Audio, Document) or by collection using the tabs that appear above search results.
Q: What are the sorting options?
A: You can sort by: Latest added (default), Oldest added, Latest created, and Oldest created.
Permissions
Q: Who can edit or delete assets?
A: You can edit or delete an asset if you uploaded it, or if you are an organization administrator.
Q: Can I edit someone else's upload?
A: Only if you are an organization administrator. Regular members can only edit their own uploads.
Q: Who can create, rename, or delete collections?
A: Organization administrators can manage all collections. The person who created a collection can also edit or delete it.
Troubleshooting
If something isn't working as expected, check below for the most common issues and how to resolve them.
Upload Issues
These are the most common problems that come up during upload.
My upload is stuck or not completing.
Check your internet connection and try again.
Ensure the file type is supported (see accepted formats above).
Very large files may take longer to process.
If the upload started but didn't finish, refresh the page and try again.
I get an error saying my file type is not supported.
Verify the file has one of the accepted extensions listed above.
Rename the file if it has an unusual or double extension (e.g.,
file.docx.tmp).Executable file types are intentionally blocked and cannot be uploaded.
My HEIC/HEIF images don't show a preview.
HEIC/HEIF files (common from iPhones) are supported. Preview generation may take a moment. If the preview doesn't appear right away, the file was still uploaded successfully. You can download it or wait for processing to complete.
Display Issues
These fixes cover problems with thumbnails, previews, and media playback.
Videos or audio files don't play inline.
Ensure your browser supports the file format. MP4 and MP3 are most universally supported.
Try a different browser if playback fails.
Check that your organization's network doesn't block streaming media.
Thumbnails are missing or show a generic icon.
Preview generation can take a few seconds after upload. Refresh the page if thumbnails don't appear.
Some file types (certain documents, uncommon video codecs) may display a type icon instead of a generated thumbnail.
Sharing Issues
If a share link isn't behaving as expected, start here.
My share link isn't working for the recipient.
Verify the link hasn't expired (check the expiration setting you chose).
Ensure you copied the full URL. Partial URLs won't work.
The recipient does not need a MarketScale account to view shared content.
The recipient can't download the file.
Check that you set Allow download to Yes when creating the share link. If you set it to No, you'll need to create a new share link with downloads enabled.
Search Issues
If you're having trouble finding content, these steps usually resolve it.
I can't find an asset I know exists.
Try searching by the original file name if the title was changed.
Check the "Other" section. The asset may not be in any collection.
Clear any active type or collection filters that might be hiding the result.
Search is scoped to your organization. Verify you're in the correct organization context.
Collection Issues
These fixes cover common collection management mistakes.
I accidentally deleted a collection and its files.
If you chose "Delete collection and all files," the deletion is permanent.
If you chose "Remove collection only," your files are safe in the "Other" section.
I can't see collections that my teammate created.
All organization members can see all collections. If a collection is missing, it may have been deleted. Check with the person who created it or an administrator.
